Welcome to INFOMAX, a seamless computer based electronic messaging system for Indian requirements and conditions. INFOMAX includes many new features that will revolutionize the workplace. These features are described in detail later in the introduction. If INFOMAX is not setup on your computer see the chapter "GETTING STARTED" for information about how to setup INFOMAX MESSAGING SYSTEM.
INFOMAX v2.0 documentation consists of INFOMAX User's MANUAL, ON-LINE context sensitive help, INSTDEMO.TXT and README.TXT files on the distribution disk. The INFOMAX User's MANUAL is the printed manual for user reference.
The ON-LINE help is the most up to date documentation of INFOMAX and may additionally contain information about features added after the User's MANUAL was printed, but it excludes the figures found in the printed User's MANUAL. ON-LINE reference is available by pressing F1 hotkey for Help, after starting INFOMAX.
When you install INFOMAX, various on-line documents are installed automatically. README.TXT contains information that was not available when the User's MANUAL was printed. You can read or print README.TXT using any text editor.
INSTDEMO.TXT contains the procedure for installing INFOMAX for the first time.
INFOMAX is a seamless Enterprise wide Electronic messaging system that can revolutionize communication within the office and branches, distributors, vendors or associates.
INFOMAX also has a built in interface to access BicneT, a Business Information and Communication Network setup by NOVASOFT SYSTEMS to provide Information services and support to customers and associates.
When you start INFOMAX, the main screen appears. The main screen consists of the following elements.
The MENU BAR runs along the top edge of the screen, and consists of the pull-down menus, BUSINESS, INFORMATION, COMMUNICATIONS, NETWORK and SERVICES.
Many menu selections may cause a dialog bar to be displayed. A Dialog Area is where INFOMAX asks you for some information or wants to tell you something. The Dialog area consists of following lines or Bar's,
MESSAGE : here messages, hints and prompts will be displayed
INPUT>>> Where the user corresponds to the messages displayed by INFOMAX.
User: Where the current User's name is displayed.
The function keys F1 to F10 activate various frequently used functions as described below:
F1 - To get instant context sensitive help.
F2 -- To Login name before accessing the various options.
F3 - To Edit or create an ASCII text file.
F4 - To View Graphic images of BMP, TIF, GIF, PCX, BFX formats.
F5 - To Create/ Compose Mail.
F6 - To view the Receive log, check mail status and act upon.
F7 - To connect to the BicneT HUB to Send/Retrieve mail.
F8 - To manage files for copy, rename, look, etc.
F9 - To access DOS System commands without quitting INFOMAX.
F10 - To Quit INFOMAX.
F11 - To Configure INFOMAX and User preferences, colour etc.
Ctrl+F12 - To enable User who cannot Login. USE WITH CAUTION !!.
There are five main Sections in INFOMAX. The first two are an interface with BicneT and the rest manage the Communications, Mail, Directories, Users and Addresses.
After selecting the desired menu item from the menu bar, the full menu for each of the selections will drop into view and appear as shown below:
To select a function on the menu simply press the up or down arrow keys to highlight the desired function, and press ENTER key to select the function.
This Section is an interface to BicneT Business Showcase which allows you to advertise your products and services through BICSHOW, which covers all forums for products and services.
BICMART is a forum to advertise any product to all users on BicneT. Each product is classified under a Section Heading, Sub Heading and Product Category as per the popular International Trade Classification for all products.
In addition to BICMART, there are other Forums like BICNEWS, BICSOFT, BICWORK and many more to advertise any services that you wish to offer through BicneT. The information can be listed, updated and modified as often as required making it the only advertising medium to offer such flexibility.
This section also offers an interface to BicneT to access the information on Bicshow Forums by selecting BICSERVE.
This is the section which helps you to manage the communications with ease. It has the following main options under BICMAIL.
1. RECEIVE LOG
The RECEIVE LOG, shows the incoming mail and provides tools to act upon it by Viewing, Replying, Forwarding, Archiving, Deleting etc. After an action is performed the status changes to indicate the action.
It is advisable to check the receive log as often as possible and act upon the received mail as soon as possible because the success of any messaging systems depends to a large extent on this activity.
2. SEND LOG
The SEND LOG, shows the status of the mail created and offer tools for action like the receive log. Do remember to archive important messages for future reference before deleting them once they are sent.
3. EXTRACT
Mail that is archived from the send or receive logs can be EXTRACTed for use in another application. The EXTRACT option provides tools for searching from the archives for the desired messages.
4. SEND/RETREIVE
The SEND/RETREIVE option actually sends/retrieves messages from the BicneT Centre through modem. This option can be used only from a node with a Modem connected to a telephone line. In case your node does not have a modem, the INFOMAX SYSTEM MANAGER can send automatically for all the users through the modem on his node. The status of all pending mail "P" will get changed to "Z" after compression and "S" after being sent.
5. RULE BOOK
The RULE BOOK is an electronic book of rules, created for quick management of received mail. You can make rules to automatically delete acknowledgments or automatically forward, archive, reply mail to various people depending upon subject, sender or date. Once you have created a rule you can name it as per its functionality and execute it any time to automatically process the mail as per the rule. To create a rule, you just need to specify the criteria, action and the object.
6. ADDRESS
The ADDRESS option allows you to select the address book i e personal, group or common and add, delete, modify or view the entries in the selected address book. You can also specify the fax nos, telex numbers in addition to the Name and the e-mail address. The other details will be useful if you are using a fax or e-mail gateway for delivering e-mail to fax nos.
7. DISTRIBUTE
Just as the INFOMAX SYSTEM MANAGER can send on behalf of users who do not have a modem or individual BicneT A/c, he can also receive the mail on their behalf. He can use the DISTRIBUTE option to distribute mail to users on the LAN who do not have their individual BicneT A/c.
This submenu provides information about the present and proposed connectivity and services through your private network or BicneT.
leased lines or dial-up modem links over Local/STD/ISD lines.
Other options provide information about connectivity available through BicneT.
These are the administrative services for the INFOMAX Manager for creating user a/c, address books, system maintenance, backups etc.
In the next chapter "GETTING STARTED" you will learn how to Install and Configure INFOMAX MESSAGING SYSTEM.
The INFOMAX MESSAGING SYSTEM can be installed within a few minutes. You will require the following,
1. INFOMAX MESSAGING SYSTEM original installation diskettes.
2. A PC/XT system or higher with minimum 640kb RAM (DOS version).
3. Minimum 4 MB of free disk space on Hard Disk or Network Drive. Additional space
requirements will depend upon the volume of mail/messaging.
The installation should be performed by the person designated to be the INFOMAX SYSTEM manager or in his presence. During the installation you will be required to answer the following questions.
Source Drive: Floppy Drive from where INFOMAX is to be installed.
Target Drive: Hard Disk Drive or Network Drive where INFOMAX is to be installed.
INFOMAX Directory: Directory where INFOMAX MESSAGING SYSTEM is to be installed.
The specified directory will be automatically created. It should be a
directory and not a subdirectory name.
e.g. BIC and not APPS\BIC
After successfully completing the installation, it is very important to keep the master installation diskette in a safe and secure place to prevent misuse and unauthorized access to the supervisor's privileges.
To start the installation, insert the distribution disk and change to that drive by typing A: OR B: as the case maybe. Then type "BDINSTAL A F BIC" and press [Enter] where "A" is the Source drive, "F" the Target Drive and "BIC" is the directory to be created.
INFOMAX will start copying the necessary files and programs to the specified directory on the Target Drive. If the directory does not exist, it will be automatically created. After a while you will be asked for the following details,
To start INFOMAX terminal, change to the INFOMAX directory and type E and press [Enter].
After this, you can use F11 or Alt-F Hotkey for reconfiguration, if required or Login as the INFOMAX manager and proceed for creating users as explained in the Services Menu in Chapter 3. Reindex every time you reconfigure.
Hotkeys or specific Function Keys F1 to F10 allow you to call frequently used option instantly without going through the menus or even pressing Enter.
F1 : HELP. To refer to the on-line reference manual.
F2 : LOGIN.
LOGIN to BicneT INFOMAX
To start using BicneT INFOMAX, you require to login by entering your name and password.
Each user is assigned a unique name and password which is the key to his mailbox and
information in the personal folders.
PASSWORD required for LOGIN.
The password is the key to your mailbox and information in the personal folders. Please
note that the password is not displayed as you type for security reasons. Instead an
asterisk-* is shown for each character typed.
F3 : EDIT. Mail/Messages can be created or edited by selecting this Hotkey. Press "F3" Enter
file name XYZ and <-'. The file will be displayed on the screen for editing. Press "CRT+W"
to save the file. By default the files in your Personal Notes directory can be edited.
An in-built Text Editor is provided to create or edit messages. The messages created with this editor are stored as text files which can be attached to mail. The messages are created in the personal Notes directory of each user.
The file name you specify here will be created in your notes directory automatically if it does not exist. If this file already exists, it will be displayed for editing. If you do not recall the file name just press <Enter>, and the list of the files in your notes directory will be displayed. You can select a file from this list for editing or viewing.
Note: A beep is sounded for every character typed after 60 columns. This is to warn about the right margin of 70 for fax messages. This means that you can still type another 10 characters before pressing <Enter>.
F4 : VIEW. For viewing a fax image on screen or a graphic BMP, TIF, GIF or a formatted
document. On selecting this Hotkey, a list of graphic formats supported is displayed from
which you can make a selection.
Thereafter a directory name while the graphic/document to be viewed is to be specified and a selection made from the available files to view the graphic/document.
Most of the popular formats have been covered and this option will be useful to view the faxes/graphics before sending them as attachments to messages.
F5 : CREATING/COMPOSING MAIL
You can CREATE/COMPOSE the following types of e-mail with this option,
INTERNAL MAIL - Addressed to an individual on your private LAN/WAN.
GROUPS - Addressed to all members of one or more Groups on LAN/WAN.
BicneT MAIL - To any BicneT user of service address (requires BicneT a/c)
BicneT Email G/w - To any international E-mail address or delivery to fax no.
BicneT Fax G/w - E-mail delivery to a fax number in a city covered by BicneT.
PRIVATE FAX G/w - To send a fax through a fax queue created by fax gateway.
PRIVATE E-mail G/w - To send e-mail through commercial e-mail services
E-MAIL ADDRESS - Enter the address interactively at the time of creation.
Select one of the above options depending upon the address/destination.
F6 : LOG. To check the default Log as set up in Preferences option.
F7 : CONNECT. To connect to BicneT hub to Send/Retrieve E-mail and information.
F8 : FILES. This will open a box displaying the files in the directory, with perform various
manipulations on them.
a) LOOK : Allows to browse through a text or .DBF file without changing its contents.
b) COPY : Will copy the marked files into another file. This can be done as follows:-
i )Bring the cursor to the required files and [ENTER]. This will mark the file to be copied .
ii) Press "Y" to copy and "N" to go back to the menu.
iii) Enter the path as to where the file is to be copied and [ENTER].
c) RENAME : Renaming the files.
i) Mark the file to be renamed and [ENTER].
ii) Rename the selected file.
e.g. XYZ.TXT to ABC.TXT and [ENTER]. The file XYZ.TXT will be renamed to ABC.TXT.
d) DELETE : For deleting the files.
i) Mark the file to be deleted and [ENTER].
ii) The screen will ask to confirm the deleting of file "DELETE THE FILE Y/N" say "Y" and
[ENTER]. The file will be deleted .
e) PRINT : To print a file.
I) Mark the file to be printed and [ENTER].
ii) PRINT THE FILE Y/N say "Y" and [ENTER]. The file will be printed at the printer .
f) CH-DIR : Change directory.
I) Mark the directory to be changed and [ENTER].
ii) Enter the directory path and [ENTER].
iii) The box will display the changed directory, Press [ENTER]. This will show the contents of the
directory.
f) EDIT : For editing the files.
i) Select the file to be edited and [ENTER].
ii) A window will open displaying the contents of the file to be edited.
iii) After editing save the file by pressing CRT+W.
iv) Press F1 for help .
F9 : SYSTEM. To execute a DOS command without quitting INFOMAX. Type "EXIT <-' " at the DOS prompt to return to INFOMAX.
F10: QUIT. To Quit INFOMAX. Enter "Y" to confirm the exit.
F11 : CONFIG. If you are already using INFOMAX and want to reconfigure it, press F11 hotkey.
a) DRIVE PATH : Type drive path of the INFOMAX directory.
b) COMPANY CODE: The code assigned by the BicneT CENTRE.
c) LOCAL CODE : The Centre Code of the local BicneT centre.
d) HOST DIR PATH : Default
e) NETWORK Y/N : Select "Y" for network & "N" for standalone
f) BRANCH CODE : Any alphabet from A-Z as assigned.
g) LAN CODE : Any alphabet from A-Z as assigned.
h) WORD PROCESSOR : Select the word-processor used.
i) HOST [Y/N] : If this site will act as the HOST/HUB for other branches.
j) POINT TO POINT : If all sites are setup to act as host and callers, type "Y"
k) ISD ACCESS : The international access code, "00" in INDIA.
i) ISD CODE : ISD/COUNTRY CODE, "91" for INDIA.
m) STD ACCESS : The STD ACCESS code "0" in INDIA.
n) STD CODE : STD/CITY code for the city. Eg. "22" for BOMBAY, "11" for DELHI, 33" for CALCUTTA, "44"
for MADRAS
Preferences configuration allows you to set up your preferred colours, default Log Display, alert sound etc..for each user as per his requirements.
a) Display New Mail : The interval after which new mail is fetched Default is 120 secs
b) Auto Log : After login whether any LOG is to be automatically displayed.
Type "R" to automatically display the Receive Log,
or "S" for the Send Log. "N" will not display the log automatically.
c) Address Selection : Type 1,2,3 for Common, Group or Personal address books
respectively to be used as default.
d) Scroll Warning : Whether warning message should be scrolled at top of screen.
e) Error, Menu Tone : The frequency of the beep sound for warning and menu selection.
f) Wan Acknowledge : Acknowledgment required for Wide Area Network mail/message
N-No Acknowledgment, Y-Always request acknowledgment,
S-Ask each time if acknowledgment is required.
g) Fax Acknowledge : Whether acknowledgments required for fax messages sent through the fax gateway.
h) X.400 Acknowledge : Whether acknowledgments required for e-mail sent through private X.400 gateways.
i) Bicmail Acknowledge : Whether acknowledgments required for BicneT mail.
j) Lan Read Ack. : Whether Read Confirmation is required for LAN/WAN e-mail.
k) Autoforward : Messages can be automatically forwarded to a designated user upto the specified date in case of
absence etc.
l) Autoreply : In case of absence, an automatically reply can be sent to all incoming mail. The reply covering message
and attachment file can be specified here.
m) Autodate : The date upto which Autoreply/Autoforward should be active.
A colour scheme can be selected depending upon the display adapter. In case of doubt, select Default Colour which should work fine with most display adapters and monitors.
This chapter explains the assortment of services available from the services menu.
This option shows a list of services currently available on BicneT. After selecting this option, a list of services available is displayed. For details about a particular service move the highlight using up or down arrow keys to the desired service and press [ENTER].
The latest information can be retrieved with the NewMaps option in the Services Menu.
This option shows a list of services proposed to be started in the near future. After selecting this option, a list of proposed services is displayed. For detailed information move the highlight using up or down arrow keys to the desired service and press [ENTER].
The latest information can be retrieved with the NewMaps option in the Services Menu.
This option allows the user to make a request for the detailed account for a specified period. This option can be invoked only by the LAN Mail manager who can monitor the usage of services by
the users. The request generated by this option is actually an intelligent message to the account server on the host which will send the detailed account by return mail to the requester.
The User is required to enter the start date and end for the period for which the statement is required.
After this option has been selected, it is necessary to invoke the SEND/RETRIEVE option from the COMMUNICATIONS menu to send the request to the BicneT host. The account details will be automatically retrieved when the Send/Retrieve option is used the next day or anytime there after.
This option fetches the latest information indexes from the BicneT CENTRE. After using this option, and intelligent request message is created which must be sent to the BicneT CENTRE using the SEND/RETRIEVE option from the communications menu. The new info indexes can be retrieve the next day or anytime thereafter. The attachment to the reply will contain the NEWINDEX.EXE which should be copied to the INFOMAPS subdirectory and executed by typing NEWINDEX [ENTER]. Thereafter, the INFOMAX SYSTEM manager should the REINDEX option in the SERVICES menu.
This option allows to add, modify and delete Users of INFOMAX and BicneT. It also allows viewing of the User's list and synchronize the log based on the actual mail status.
Adding user details is the first step in allowing the user to use INFOMAX and BicneT. This option will be used immediately after installation. Also whenever a new user is required to be added, this option may be invoked.
The details asked while creating users are User A/c Code, User name, Password etc. This is the most important step which has to be done thoughtfully as INFOMAX uses the information in
the User A/c Code to automatically route the messages to the right user. Before you start assigning the user codes, it is necessary to understand, various connections and links INFOMAX
uses to get the message across the networks.
INFOMAX transfers messages across LAN's, BRIDGE's and WAN's.
A LAN is a group of PC's connected by a coaxial or twisted cable, and communicating through a Server. A no.of Groups may be created on a LAN allowing security and access to common programs for members of a Group.
A BRIDGE is a link connecting two LAN's. The link can be through a dedicated BRIDGE or even a simple serial link.
A WAN is a group of PC's and LAN's connected over a long distance by a dial up, leased line or packet switched network.
An INFOMAX User A/c Code is 30 characters wide, e.g. BICMAIL453564000562001000ACM01
While this may look to a bit long, the advantage is that it contains complete routing information and once the codes have been assigned to user's in the beginning, messages get routed automatically, to all direct, dial up or external links.
Let us break it up into its constituent parts and see how they help in routing messages,
Char 1 - 7 BICMAIL - Identity for BicneT e-mail.
Char 8 - 12 45356 - Country Code for INDIA in S.Asia.
Char 13 - 18 400056 - BicneT Centre Code.
Char 19 - 25 2001000 - Company A/c code
Char 26 A Branch Code.
Char 27 C Lan or System Code.
Char 28 M User Group "M" for Marketing.
Char 29 - 30 01 User No. in the Group.
The first 25 characters are assigned by BicneT to every organization and once they are entered at the time of installation, will not be required to be changed.
First of all, the INFOMAX SYSTEM manager should identify and codify the various Groups, LAN's or separate units to be linked and the branches to be connected. The characters 26,27 are
individual Branch and Lan or System Codes respectively and are to be entered one time using the F11 or Alt-F hotkey for Configuration.
An INFOMAX MANAGER should be decided for each LAN or SYSTEM and should be assigned a Group Code (char 27) as "0" and User No."00". Thus the last three characters of the User A/c code of the INFOMAX MANAGER will be 0's.
The INFOMAX MANGER will be responsible for identifying the Groups that the user belongs to and start assigning the User Codes. Only the last three characters, 28-30 have to be decided as the first 27 characters will be assigned automatically for each LAN or SYSTEM.
E.g. M01 - Marketing Dept. User 1, Anil
M02 - Marketing Dept. User 2, Sunil
P01 - Purchase Dept. User 1, Deepak
The INFOMAX SYSTEM manager will also assume responsibility for maintaining the system configuration and databases.
For each Group it is advisable to appoint a Group Mail Manager whose User No.in the group (char 29,30) should be "00". A Group Mail Manager can SEND/RETRIEVE and transfer mail on behalf of all the members of the Group, thereby saving individual users the effort of establishing the modem connections and links.
Login Name: It is a unique name to identify the user.
E.g. A user named Ashok Roy can have AROY as the Login and A user named Ashok Kumar can have AKUMAR as the Login. Existing Network Login Name can be used for INFOMAX login but avoid using only first name or last name for login.
Password: It is recommended for confidentiality of messages.
First, Middle and Last Names: These are used for Identification of the User.
Residence telephone no. and City/area code: optional
Start Date and Expiry Date: User account details i.e. Opening of account date & Expiry of the
account date.
Security Level: A value from 0 to 99998 may be assigned to each user depending on his
position. A user with higher security level can access the address book of another
user with lower security level but not vice-versa.
DB Limit: A limit for incurring charges on BicneT. (for BicneT a/c only)
Mail Compression Default Value (0,1 or 2): (for BicneT a/c only)
0 - Ask before Compressing mail every time
1 - Automatically compress mail every time
2 - Do not compress mail.Mail Restrictions
A value of 0 means no restrictions whereas a value of 30 indicates maximum restriction, no sending. A value say "n" between 0 & 30 indicates that mail can be sent to any user as long as the first "n" characters of the receiver's address are identical to sender's address. The following values have restrictions as below,

28 -- can send in the same group only. e.g. Marketing can send to anyone in the marketing
group but not to any user in the Purchase or Accounts group.
27 -- cannot send to another user on another LAN.
26 -- cannot send to another user in another branch.
25 -- cannot send to another BicneT centre.
24 -- cannot send to another BicneT centre in another city.
18 -- cannot send to another BicneT centre in another country.
07 -- cannot send to another E-mail network except BicneT.
00 -- No restrictions. Can send e-mail to any e-mail network with BicneT gateway.
To change a user's record or correct user's details, use this option.
Delete the User's record from the User's List when the User is not likely to use INFOMAX messaging from this LAN or SYSTEM.
Note: The User's record is not physically deleted immediately, It is only deleted when the REINDEX option is selected by the INFOMAX MANAGER.
To quickly check out the User's on the LAN or SYSTEM using INFOXMAX use this option.
Synchronize Log option is useful to synchronize the LOGS with the physical message status. Usually the LOGS are updated and synchronized automatically, but occasionally the LOG may get out of sync due to power failure, hardware error, rebooting or abnormal program termination. Use Synchronies log option to keep the logs and message archive indexes up to date.
This option creates the indexes if any indexes are deleted or reindex if they are corrupted or out of sync. If the User is the INFOMAX MANAGER, all database files, User's as well INFOMAX
System's will be reindexed and any user or addresses marked for deletion will be physically deleted from the databases. However, if this option is invoked by a normal user, it will reindex only the index files for his logs and archives. It is necessary to use this option immediately after installing INFOMAX MESAGING SYSTEM to create the indexes. Thereafter use this option if any problems are detected after power failure, hardware error, rebooting or abnormal program termination.
To release users locked in to INFOMAX due to power failure etc. The INFOMAX SYSTEM MANAGER should use if immediately when power is restored. If this is not done, some user's may face problem during LOGIN. Please request all users to log out before using this option.
To delete all mail in the User's mailbox. This option should be used with extreme caution as it will delete all mail in send and receive logs.
To change the login password select this option and type in the new password.
A drive identifier or directory name can be specified eg. A: or D: or F:\BACKUPS\INFOMAX. Regular backup by the User as well as the Manger on behalf of the users is strongly recommended for insurance against data loss due to hardware problems etc.
When a Supervisor takes a backup, all user's messages and archives are backed up, but when a user uses this options only his messages/archives are backed up up.
SPECIFYing the Directory path. A drive identifier or directory name can be specified eg. A: or D: or F:\BACKUPS\INFOMAX where the backup is located.
The Network Options provides information about connectivity and can be useful to ascertain if the area where you wish to send messages electronically, is connected through BicneT or INFOMAX.
You may be able to send mail to any of the areas connected through BicneT if you have an account with a BicneT centre OR you can send mail to any location on your private messaging network built through direct links/bridges and/or Dial Up connections. A maximum number of 50 locations may be connected directly and each of the 50 locations can be connected to another 50 links/bridges to build up a network of upto 2500 PC's/LAN's distributed geographically.
This is a directory of the User's having an account at your local BicneT centre. The directory is indexed on the User's first name and lists the User's Full Name, company name and BICMAIL address. It is also possible to search for the user based on the Last Name, Company Name or BICMAIL address.
This option lists the BicneT centres operational at present and new centres coming up. You can send BICMAIL to any of these centres.
This option lists the Cities where BicneT centres are operational or to be operational in the near future.
This is the list of Regions where BicneT central host is located.
The list of countries to which BicneT offers connectivity through its own network of through reciprocal arrangements. Each country is assigned a country code. eg "356" for INDIA.
The world has been divided into zones by United Nations. e.g. Zone 4 is the ASIAN continent. Therefore all BICMAIL addresses in ASIA will start with "4". Within Zones, subzones e.g. 5 for South Asia have been assigned. INDIA falls in South Asia, and all other countries that fall in South Asia will have BICMAIL addresses starting with "45".
This is a list of other E-mail service and Information networks to which BicneT is connected for message interchange on a reciprocal basis. In addition to gateways through BicneT, INFOMAX offers you the capability to establish your private gateway to a number of other E-mail services and information networks.
To send messages to Users on other networks to which BicneT has a gateway, an account with a BicneT centre is required. The necessary addressing conventions are explained for each of the gateways.
If you wish to establish a gateway directly with another network listed under private gateways, you require to open an account with the desired network and install a INFOMAX message converter for the selected gateway. In this way you can offer the messaging capabilities of INFOMAX to all Users of your private network and also connectivity to the other network, even if that network does not service the location where the user is situated or if all users do not have an individual accounts on the other service.
Presently gateway modules are available for:
A. Private Fax Gateway: All users can send and receive facsimile messages from their desk. The messages are queued at the node where a fax card is installed and transmitted on a first come first served basis. An acknowledgment is sent to the sender with the delivery time stamp.
B. Private E-mail Gateway: All users can send and receive e-mail from their desk through a single mailbox with the e-mail service provider. INFOMAX uses the internal mailbox address to automatically route the messages and acknowledgments to the sender. This allows substantial savings as a single mailbox can be conveniently shared by all users with full confidentiality.
C. BicneT Fax Gateway: BicneT offers Store and Forward fax services to domestic and international destinations for less than 50% the cost of direct transmission. This can be utilised for routine and follow-up messages where instant transmission is not necessary. The messages are transmitted every hour by e-mail and will be typically delivered within 3-4 hours.
D. BicneT E-mail Gateway: BicneT has e-mail gateways to Internet and X.400 networks. This allows sending e-mail to an Internet e-mail address, on any e-mail service connected to Internet. Today Internet is the worlds largest network with over 50 million users.
The above gateways are optional modules that can be installed with BICINST.EXE which should be copied from the Installation diskette into the BicneT-Infomax directory.
This is the directory of your private messaging network. A private network can be built up of Branches or Offices connected by Dial Up lines or long distance leased lines. Such connectivity over a long distance is called a Wide Area Network (WAN).
This option provides information like a Network Directory Service for Networks and hence can be called Messaging Directory Service. When this option is selected, first the list of WAN locations is displayed. You can selected a particular WAN to view the list of LAN's or PC's linked together at the WAN location. You can send messages to a User on any LAN or PC at the WAN location, even if you do not have the actual user address. This is possible by sending the message to the LAN or PC INFOMAX SYSTEM manager whose address will be the Company code + WAN code + LAN code + "000". The message will can forwarded to User by the manager.
E.g. The Area Code is BICMAIL4535640056.
The Company Code is "2000002"
The WAN Code is "L" and the LAN code for Marketing dept is "M"
You can send now send a message to a user in Marketing Dept by sending the message to "BICMAIL453564000562000002LM000" address.
Chapter 1 describes the various options for BICMAIL briefly. We shall explain here the communications functions in greater detail. INFOMAX offers you all the capabilities to manage your electronic mail systematically.
Once you start communicating by electronic mail, especially using INFOMAX, it is difficult to stop Like wise for your colleagues. The result is a remarkable increase in efficiency and convience.
However as the volume of communications increases, it is important to manage the mail electronically without causing a headache. INFOMAX offers you various functions to manage your messages efficiently.
INFOMAX MESSAGING SYSTEM is an electronic messaging system, which can be used for seamless communication over LAN & WAN networks as well as on stand alone computers with a consistent user interface i.e. the INFOMAX TERMINAL which allows users to manage their communication's with ease.
To start INFOMAX terminal type E<-'. The INFOMAX TERMINAL can be used by one user at a time. Each user's messages are placed in a separate area reserved for him. To access the messages stored for him or to communicate a user has to LOGIN by pressing "F2".
A password is required to prevent any unauthorized access to the user's work area. If you are a user on the network you will be automatically logged-in and will be allowed to access your mail and communicate.
The above login and password sequence may not be required if you are already logged into the network with the same name.
Once setup INFOMAX terminal is extremely easy to use.
To create a message, just press F5. You can create messages for a user within your office or on any interconnected network around the world. This option also allows to send fax messages through a private fax gateway.
The address book shows the list of Internal Users only to whom you can address a message.
Internal Users mean they are users on your privately connected Local or Wide Area Network.
Please select an address by pressing <Enter>. Multiple recipients may be selected by the <SpaceBar>.
The mail will always show Sent status in the Send Log as it is immediately sent on a LAN. For a WAN it is compressed into the destination outbox and transmitted as soon as the link is established. Hence the initial status is Waiting till a transmit confirmation is received when it changes to Sent. To confirm whether the message has been Delivered or Read, observe the change of status in the Send Log. "A" status indicates acknowledgment of Delivery and "E" status confirms that the mail has been read by Recipient.
Entering a Subject for the message
While creating a message, usually a subject that appropriately represents the content of the message may be entered. This is very useful because the subject is displayed in the recipients log, and the recepient may prioritise reading your mail based on the subject.
Covering Message
A covering message can be of upto 250 characters and it should refer to the attachments. The attachments can contain messages of any length. If there are no attachments, and the message to be sent is short, the actual message can be typed here.
In case the actual message is longer, and you do not have an attachment file containing the actual message, you will be able to create the attachment in the next step and attach it too. If you require to create an message attachment now, you may just type "Please refer to the attachment" for the covering message.
After the covering message has been typed press <PgUp> or <PgDn> keys.
To create a test attachment here upto 50,000 characters long, just press [Enter]
Now a directory name has to be specified for the files to be attached. The attachments can be any type of file text, binary, graphic, executable etc. A list of files in the specified directory is displayed in a window. The files to be attached can be selected with the <SpaceBar> and confirmed to be attached by pressing <Enter> thereafter. More files can be attached similarly from other directories.
If you wish to attach a file from your NOTES directory just press [Enter] for the directory name.
E-mail can be send to a Group of Internal Users by selecting one or more Groups from the list shown.
Eg.- Group M could be assigned to Marketing and hence one could conveniently send the latest price-lists or new product information to the Marketing Group simply by selecting the Group.
Similarly an announcement of a Holiday or special timing could be sent to all Groups.

BicneT mail can be sent to another BicneT User or Infobot address for communication or getting Information. An Infobot (Information Robot) receives intelligent e-mail and responds by sending the requested information automatically. You should have an a/c with a BicneT centre to use this service.
Please select one or more addresses from the list shows. Mail created here will show Pending Status in the Send Log and will have to be sent by connecting with F7 or Send/Retrieve.
If the compression is enabled, the Status will change to Z after compression and S after it has been sent.
In addition to sending E-mail, if INFOMAX is installed for a LAN, each user also gets Fax Capabilities through the LAN-FAX gateway to send a fax through the LAN-FAX gateway, firstly the LAN-FAX gateway should be installed and a Class 2 fax card with appropriate drivers must also be installed on one of the nodes.
Use the option for creating mail as above, and set the receiver address as FAX INTERNAL GATEWAY from the address book. Thereafter you will be shown a partial list from your address book where fax nos. are mentioned. Select a fax recipient from this list or press <Ins> to enter the Recipient's name and fax nos. Upto two fax nos can be entered. You can also specify a Date and Time for delayed transmission.
Your fax request will be put in a Fax Queue and the requests in the queue will be processed on a first come first served basis. On successful fax transmission, you will receive an acknowledgment mentioning the connect time used. In case the fax could not be transmitted on either of the two numbers after a specified no of retries, you will be informed automatically by the Fax Que auto attendant about the reasons for the failure.
In case you wish to retry transmission, you can send an ordinary e-mail to your FAX QUE MANAGER to do the needful. The Fax Que Manager Utility, allows to retry, reschedule, modify or cancel the scheduled transmissions. This utility also generates Fax Transmission Logs mentioning the name of the person who requested, the documents sent and the connect time used. This will be very useful keep check on the usage of fax facilities.
You can send an e-mail message even to a recipient who does not have an e-mail address but has a Fax No. However such a message can be text only. The BicneT Fax Gateway sends the e-mail to the nearest BicneT centre or an associated service's centre from where it is converted into a fax and delivered to a normal facsimile machine on the specified fax no. The message can be created using the same procedure as the Internal Fax Gateway, but the recipients e-mail address should be BicneT FAX GATEWAY.
In addition to the Internal Fax Gateway's, you can install other internal Gateway's to other public access E-mail services to bring the ease of use of INFOMAX and maintain a consistent interface for all your messaging needs. An added advantage would be that user's need not learn the intricacies of the various e-mail services. E-mail Gateways are optional products and you can refer to Appendix C to find out about the gateway's available.
LOCAL GEMS400 address.
The Local GEMS400 address is address of a user on VSNL's GEMS400 Public Email Service. The word LOCAL is a little ambiguous because the User can be anywhere in INDIA on GEMS400. Local means that the User is a subscriber with VSNL's GEMS400 service. Hence if you observe VSNB in the e-mail address, select the LOCAL option.
DELIVERY TO FAX or TELEX No.
The e-mail will be transmitted to the destination and converted to fax format to be faxed to the receiver's facsimile at the specified number. Please select the recipient from the list displayed.
X.400 Address
X.400 is the standard defined by ITU (International Telecom Union), a body of Telephone Companies of the world. It is the official standard for e-mail. If the recipients address contains formulae such as G=USERNAME or C=IN, it is an X.400 address and for such addresses select X.400 option.
INTERNET Address
INTERNET is the network of networks and almost all networks in the world would be directly or indirectly connected to Internet. It is the de facto standard and reaches over 90% of e-mail users in over 150 countries. An internet address has an "@" character. Hence any address having "@" should be sent with the INTERNET option.
E-mail address:
E-mail addresses are generally selected from the address book. However if you are sending mail to an address which is not in the address book, you can enter it interactively with this option.
The Receive Log is where most of the action is. It is a good practice to act on received mail immediately as such a culture will make e-mail communication very dependable. It is also recommended to clear the log by deleting read message and archiving important messages so that new messages can receive immediate attention.
The Receive log indicates the Date, Sender's Name, Status Subject, Mail No and time. The Mail No. and time are beyond the right edge and can be seen by using the right arrow key.
The Status is abbreviated with their meanings explained below:
U - Unread
L - Replied.
C - Archived to a Folder.
R - Read.
F - Forwarded.
E - Acknowledgment read.
A number of actions like VIEWING, DELETING, REPLYING, FORWARDING and ARCHIVING can be performed from the Action Toolbar by pressing <TAB>.
It is possible to perform the above actions on multiple messages by marking them with the <SPACEBAR> before selecting an action.
ACTIONS that can be performed on the message or marked messages
SELECT - To Select messages with a particular status e.g. Read, Unread etc.
VIEW - To view the messages.
DEETE - To delete messages.
REPLY - To reply to messages.
FORWARD - To forward messages to one or more persons.
ARCHIVE - To archive(filing documents) to a folder. You can archive the messages in the log
or any text files from any directory. For archiving text messages from a directory
use the EXTERNAL option. You can create new folders with the <Ins> key.
LOGPRINT - To Print a log of messages.
PRINTMSG - To Print the messages.
CHANGSTS - To Change the status of a message.
ATTACH - To Add an attachment to a message.
INDEX - To index messages on Date, Sender's Name, Subject and Mail No.
We recommend that the receive Log should be checked up at least thrice a day, once in the morning, afternoon and before leaving. It is very important that all the user's check their Receive LOG regularly for any electronic mail system to be successful. To encourage checking of the Receive Log frequently, we recommend two ideas,
1. Send all telephonic messages received in a User's absence through E-mail.
2. Ask user's to register their attendance using E-mail to a user who does the salary computation.
The User's name, Date and Time of reporting are stored in the Receive log database which
can be directly used by payroll applications.
To check the status of mail sent and whether it has been sent, delivered or read by the receiver. The Send log indicates the Date, Sender's Name, Status Subject, Mail No and time. The Mail No. and time are beyond the right edge and can be seen by using the right arrow key. The Status is abreviated with their meanings explained below:
P - Pending to be sent through Send/Retrieve or F7-CONNECT to BicneT.
W - Waiting in queue at FAX, E-MAIL or WAN Gateway for transmission.
A - Acknowledgment for delivery success
F - Forwarded to another user.
S - Sent
N - Notification of delivery failure
C - Archived
Z - Zipped/Compressed for transmission
E - Mail Read Confirmation
X - Incomplete transfer due to abnormal disconnection etc.
To track the message delivery, observe the change of mail status as below :-
Mail can be broadly classified into two categories ie Internal or External. Internal mail is sent with your office or between offices to computers connected by LAN or Wide Area Network. By contrast external mail travels over other public networks like BicneT, Internet or ITU X.400.
When a message is created, if it is INTERNAL the send log shows status "S" because on a LAN it is delivered immediately. For mail to be sent through a gateway, the status will be "W" to indicate the message is waiting in a queue at a Gateway to be transmitted. After transmission, the status will change to "S". Further after the message has been delivered to the mailbox at the destination, one should wait for the status to change to "A" or "N", which indicates success and failure respectively. If a read confirmation has been requested, the status will further change to "E". For messages with "E" status, a corresponding message in the receive log will show the date and time at which the message was read by the recipient.
Messages sent through a private gateway is also considered internal, hence the above status can be monitored to track private gateway message delivery.
EXTERNAL messages have the status "P" at creation to indicate Pending to be sent. They remain pending until F7-CONNECT or Send/Retrieve option is selected to transfer mail. Before transfer, the messages are compressed to reduce transmission time if the Mail Compression is enabled in your User Record by the INFOMAX Manager. After compression, the status changes to "Z", and subsequently to "S" to indicate that the messages have been sent.
If after compression, the line gets disconnected due to any reason, the status remains "Z" but changes to "S" after being sent successfully in the next connection. In case compression is not enabled, the status will show "X" instead of "Z" to indicate incomplete transmission.
Thereafter the mail status will change to "A", "N" or "E" to indicate delivery success, delivery failure and read confirmation respectively.
Note: For internal mail the status is Sent in the Send Log as it is immediately sent on a LAN. For a WAN it is compressed into the destination outbox and transmitted as soon as the link is established. To confirm whether the message has been Delivered or Read, observe the change of status in the Send Log. "A" status indicates acknowledgment of Delivery and "E" status confirms that the mail has been read by Recipient.

To extract mail and attachments from archives and forward them to another user or directory.
To search the contents of all folders press <INS> key or select a Folder to Extract mail from. To view the messages in all the folder, type <V>. You can search for a message from a folder based on the following criteria.
Mail No. : Enter the message No.
Remark : Enter a keyword or part of the remark
Subject : Enter a keyword or part of the subject.
Sent To : Enter recipient name, if the message was archived from SEND log.
Received: Enter sender's name, if the message was archived from RECEIVE log.
-From
All the messages that match the search criteria will be displayed. You may now forward the message or extract the attachments to a directory or copy or move or print as required.
To connect to the BicneT HUB to send/retrieve mail. The F7-CONNECT Hotkey also has the same function. The Group Manager of INFOMAX MANAGER can S/R for all users with this option thus saving the efforts of users to individually connect to BicneT HUB or learn the basics of Modem Communication.
This option actually sends and receives the messages to and from BicneT centre. When this option is selected, the control is passed to the Data Communications Utility which manages, the Login to the BicneT centre, automatic compression and transfer of messages to the BicneT centre and resuming incomplete transmissions.
After the connection is established, your password is automatically transmitted to the BicneT Host. If your password is OK and the line condition is satisfactory, a message will inform you whether you have mail waiting in your mailbox to be retrieved. If there is no mail, you will be given the option to check your account status. The status screen has the following information,
1. Whether you have mail waiting.
2. Your account balance.
3. Last connection date and time.
4. Message if any for your attention.
5. General Notices.
If you have mail waiting, you will be given an option to view the details before retrieving the mail. This is to enable you to delete any unwanted large messages on the BicneT Host to reduce the retrieval time. You can delete messages with the <SPACEBAR> and confirm the deletion with <ENTER> or cancel the deletion with <ESC>. Thereafter, you may send and retrieve the remaining messages.
When all the messages are transferred the line will be automatically disconnected and the Send and Receive Logs will be automatically updated. All messages that are send with show status "S". All unread messages will show status "U" which will change to "R" after reading.
If any messages show "Z" or "X" status, it indicates that abnormal disconnection has occurred due to line or hardware problem, and a connection should be established again. The transmission will resume from the point where the disconnection occurred and complete the transfer.
Note: Please do not change the status of Zipped message to pending as it will result in repetitive transmissions. If any mail remains Zipped after Send/Retrieve, try connecting again to the BicneT Host with Send/Retrieve or F7. After successful transmission all Zipped mail will automatically change to Sent.
The above procedure must be followed after creating messages that are to be sent to another user on BicneT, or when listing, updating or deleting information on BICSHOW, retrieving information through BICSERVE and requesting for ACCOUNTS statements etc.
The Group Mail manager can Send and Receive mail to and from BicneT for multiple user's in his Group in a single session/connection by selecting the names of the individual users from the Group members menu which is displayed when a Group Mail Manager selects the SEND/RETRIEVE option. In this case, the individual member's do not have to use SEND/RETRIEVE to connect to BicneT and therefore saves time and effort for individual user's.
When the INFOMAX SYSTEM manager selects this option, mail is automatically SENT and RECEIVED for all user's in a single session/connection to BicneT centre.
Note: For successful connection, it is necessary to setup the following LINE, PORT and DIAL parameters correctly with the DIAL.EXE utility loaded by changing to the COMMUTIL subdirectory.
Add: This allows you to enter the BicneT Host access nos. The first three nos are automatically dialed one after the another at the specified Line speed from 1200 to 14,400 bps.
STANDARD LINE PARAMETERS: 1200-N-8-1 to 14400-N-8-1.
1. 1200 bps for non error correcting v.22bis modems.
2. 2400 bps for MNP5/v.42 Error Correcting v.22bis modems.
3. 9600 bps for v.32bis/v.32ter/v.34 modems.
Although you may be able to connect at higher speeds, we recommend the above speed for consistent and reliable connections. You may set speeds lower than recommended if line is
noisy or if your exchange is not digital electronic type.
Default setting is 1200-N-8-1 as communication at 1200 bps is supported by all modems and works in most circumstances, except if the line is so noisy that you can hear cracking sound.
Other parameters No parity bit, "8" data bits and "1" stop bit.
The Setting options in the Dialing Utility menu allows you to configure the dial parameters as per the capabilities of your modem, line access requirements and line condition.
Serial Port No.: COM1-COM4. This is to indicate the COM Port on which you modem is connected. If it is an internal modem card, the COM port is built into the card and the settings are found on the card. Default setting is COM2.
Wait Time : Enter the time in seconds to wait for a connection to be established
after dialing. Default is 90 seconds.
Parity : Default is N-No Parity
Data Bits : Default is 8 data bits
Stop Bits : Default is 1 Stop bit.
Dialing Method - TONE or PULSE. TONE dialing is very fast but is supported on digital electronic exchanges only. Check out if your telephone line accepts DTMF tones before selecting TONE dialing. PULSE dialing is usually supported on all direct telephone lines by may not be supported some by EPABX/KTS systems. Default Dialing Method is set for PULSE dialing.
Dial Prefix : It is the code required to access the PSTN line through EPABX or KTS or if the dial tone is delayed. If the telephone line is to be accessed through an EPABX or KTS, 0 or 9
may have to be dialed first and then wait for dial tone before dialing the BicneT tel. nos. In this case the dialing prefix would be "0," or "9," where "," indicates to wait 2 seconds for dial tone. If your dial tone is usually delayed, consider adding "," only as the dialing prefix before the BicneT centre tel. nos. Each comma waits for 2 seconds and the no of comma's can be increased depending up on the average delay before getting the dial tone. Default dialing prefix is a single comma ",". Default is X1.
No. of retries : It is the no of times the Data Communications utility will automatically retry for a connection. Usually the BicneT centre's Data Service tel. nos. will hunting on multiple lines, but still a connection may not materialize due to overloading of exchanges or the centre's data lines.
Default no of retries is 2 times.
Wait time between : Time to wait between retrying the next number. Default 5 seconds.

To create Rules for processing mail and executing these rules to automatically process mail. The Rule Book allows creating of Rules for routine processing of mail to save time and effort. For example, a Rule name Delete Acknowledgments will automatically delete all Acknowledgments. Another Rule will forward messages based on Subject to various people. The rules can be formed on Sender, Subject, Date etc.
If you receive a lot of mail everyday, the Rules can be very convenient for the processing and acting on mail.
ADDRESS allows access to your Personal Address Book of E-mail Users and their E-mail addresses. You can store the User's names and E-mail addresses of persons to whom you require to send mail frequently. When creating messages, a window will display your address book to let you select the receiver's name and address saving you the effort to enter these from the keyboard.
The add option allows you to add an address to your address book.

Tel. Nos. : Personal, Co, Extn no.
Fax Nos. : Co.'s, Extn no., Do not add access or ISD/STD codes here.
Data Nos. : Co.'s, Extn no.
Long Distance Codes : Country and Area.
Min Security Level : Any value from 0-99998.
From above, only Name and E-mail address are necessary, the rest are optional.
The Minimum security level may be entered when you plan to have a common address book with restricted access to certain users. If the User's Security Level defined is greater than the Minimum Security Level, he can access the address. If the Minimum Security Level is left blank, the address will be accessed by all users.
Use Modify Address to correct mistakes when creating the address, to update the record for changes in the address or other details.
Use this option to delete addresses that are no longer required in the address book.
Note : The address record is not physically deleted immediately, It is deleted only when the REINDEX option is used by the INFOMAX MANAGER.
This option is to View the address book at a glance.
Selecting Personal, Group or Common address book.
SELECTING THE ADDRESS BOOK
You can select a default address book to be displayed when creating mail from Personal, Group or Common Addresses.
Group address book is created by the Group Manager and all members of the group can access these addresses.
The Common address book is the address book containing addresses created by all users and you can access any address in this address book for which your security level is equal to or higher than the user who has added the address.
To select the Personal, Group or Common address book and add, delete, modify and view the addresses.
To update LOGS and ARCHIVES with the actual message status when and discrepancies are noticed.
The INFOMAX MANAGER can send and receive mail on behalf of users who do not have a BicneT a/c. Such mail can be distributed to the users here. This option is available to INFOMAX SYSTEM manager's and Group Mail manager's only.
Using this option, the Group Mail manager can automatically distribute mail to user's not having an individual account with a BicneT centre. This is a facility where multiple user's can use a
single account on BicneT thereby saving the trouble to managing accounts for user's whose messaging requirements are not substantial.
Above we underscored the importance of checking mail regularly. Further, INFOMAX offer two utilities to notify user's automatically about unread mail waiting for their attention.
The first is MWFLAG.EXE which intimates user's about waiting mail every time he logs into the system. This utility can be called from the System login script or the user's login script. The message displayed on login is "YOU HAVE BICNET MAIL".
The second utility is the SENDMESG.EXE which posts a message to logged in users at specified intervals in whichever application they are working on the last line. The user can clear this message by pressing Ctrl-Enter after reading. This utility may not work if the user has executed CASTOFF on his node to the block messages.
After receiving the intimation, from any of the above utilities, the user should check his Receive Log, to view the messages.
Note: Autoreply and Autoforward functions work through the SENDMESG utility, hence it is necessary for this utility to be active for autoreply/autoforward operations.
To get the information on the latest products and services like News, Software etc., access BICSERVE in the information menu. This is a convenient way to keep yourself upto date with the latest products and prices from around comfortable from where your are. You could also make purchases or place orders by e-mail.
A General Query is a query about the specific of products or services about which information is listed and available on BicneT. The reply is sent automatically by the BicneT centre listing the specific information reference nos. if information is available on the requested selections. From this reply to a general query, a specific query can be made to get the desired information. This two step procedure is designed in order to make the selections off-line, peacefully and reduce connection time required.
To make a General Query, bring the cursor at the general query option and [ENTER].
You will be displayed a Infoservices menu. Make a selection for the type of information required. Select the nature of the product from the "SECTION CODE NAME" with the help of the arrow keys and press [ENTER].
The appropriate section can be selected by using keys such as (D) for full description, (S) to search by code or the starting character & the description and (DEL) to save and exit.
Select the nature of product from the "SECTION CODE NAME" this can be done by the use of the of the arrow keys. Simultaneously the message bar on the screen will help the user to select the nature of the product by the defined hot keys such as (D) for description, (S) for search.
Pressing (D) will give the user the full description of the section selected.
Pressing (S) will help the user to search for the product in three different ways viz.,
1) Description search 2) Code search 3) Starting character
Select the description search and type in the description of the product, the screen will display the entire information about the product. Similarly by defining the code of that product one can
get the information about the product.
Another simple way of searching for the product is by just keying in the starting character of the product. It should be noted that the starting character should be in capital letter.
It is divided into "HEADING CODE, HEADING NAME". Where the products/services are specified into their respective groups. Select the respective name or code by using the search utility and defining its code or name.
This menu gives the user the brief idea as to which part or section of the products/services is to be listed. Bring the cursor to the required position and select the product.
It is final submenu for information category selection. Select the appropriate type. At this the message bar will display "DO YOU WANT TO CREATE ANOTHER QUERY[Y/N].Pressing "Y" will take you back to the query option. Pressing "N" will simply bring you to the information menu.
After making a general query, a intelligent message is created which has to be sent to the BicneT host to retrieve the required information. This can be done through the SEND/RETRIEVE option from the communication menu. The reply mail from BicneT will consist a query file name with a local data base reference number.
General and Specific Queries
QUERY - GENERAL first and then more SPECIFIC
To get the information on the latest products and services like News, Software, access Bicserve in the information menu. This will show the two options, A General Query is a query about the specific of products or services about which information is listed and available on BicneT. The reply is sent automatically by the BicneT centre, listing the specific information reference nos.if information is available on a requested selections. From this reply to a general query, a specific query can be made to get the desired information.
A specific query is made for information on the Local Database reference nos. mentioned in the reply to a General Query. The Specific Query option also generates an intelligent message which has to be sent to the BicneT host to retrieve the required information. This can be done through the SEND/RETRIEVE option from the communication menu.
When the specific Query Option is selected, a list of General Query replies is displayed automatically. To view the contents of the General Query reply, just press the spacebar. Thereafter you may press [ENTER] to select the General Query reply for which you wish to make a specific query. A list of reference nos. is displayed in the General Query reply with a brief description about the contents. Select the desired reference no.and the specific query is generated which will fetch the information for you in the reply e-mail. You may then use this information directly in an computer application or print it our for reference.
This is an ideal medium for advertising your products you manufacture or market. It enables you to send complete Brochures and Technical manuals, product catalogues and price-lists automatically to interested users.
In fact if it is updated regularly it could bring you orders through e-mail along with the payments, simplifying your work and also organising deliveries.
First we will be learning to list information about a product or service. Select the "LIST NEW INFORMATION" option. An infoservices menu is displayed for you to make a selection.
Thereafter the Section menu is displayed for selecting the nature of product or service from the SECTION CODE NAME " this can be done by the use of arrow keys, at the same time the message bar on the screen will help you to select the nature of the product or service by the defined hot keys such as (D) for description, (S) for search.
Pressing (D) will give the user the description of the product or service selected .
Pressing (S) will help you to search for the product or service in three different ways viz.,
a)Description search b)Code search c)Starting character.
It is not necessary for a BicneT user to remember the entire information about the required product, although a little information is necessary such as,
1) If you do not remember as to which nature or code the product or service belongs to just select the description search and type in the description of the product. The screen will show you the entire information about that product.
2) Similarly by defining the code of the product or service, one can gain the required information about the product. This can be done by selecting the "CODE SEARCH" option and keying in the code number.
3) Another simple way of searching for the product or service is by typing the first character i.e. the starting character of that particular product. Remember that the starting character should be in capital letters.
First we will be learning as to how to list information about a product or service. Select the "LIST NEW INFORMATION" option. An infoservices menu will be displayed for you to make a selection.
The information once listed can be updated at any time if there is a change of Specification, Prices, Model etc. This procedure is similar to that of listing a new information. After that the user has to connect to the BicneT Host to complete updating the information.
A user can delete any unwanted information regarding about the listed or updated product. This can be done by selecting the "DELETE INFORMATION" option and then select the appropriate information service and section, heading and subheading where the particular product or service information to be deleted is currently listed. After going through the similar procedure of listing and updating products the screen will prompt the user to enter the model of the product to be deleted. Enter the model of the product as<Ù.
Where all the products are further specified into their specific groups. Select the respective name and code by highlighting or by using the search utility and defining its code or name.
It gives the user the brief idea as to what and which part or section of the product or service is to be listed. Bring the cursor to the required position and select the product or service.
Information Code, Description
It is final submenu for information category selection. Se the appropriate type. At this the message bar will display. You will be requested for details such as,
Model/Version: Enter the model name/version no.of the product.
Source: Enter the manufacturer's, developer's or the marketing agency name.
Remark: Describe the product/service/information briefly.
Cost: Enter the cost of the product/service/information.
The message line will display "ENTER DIRECTORY PATH FOR ATTACHMENTS". Type the directory path where the Documents describing the product are located. The documents and Brochures can be written in a non document text mode only. You can attach that particular file by giving the directory path. This will open a window where the contents of WS5 directory will be displayed. Select the file to be attached by bringing the cursor on it. Press "F10" to save. You can send a number of attachments along with it. If there are no attachments to be send press "N" will bring you back to the product menu.
Here the user can update the nature of the product or service information such as,
a)Price b)Model c)Source d)Remark etc.
This procedure is similar to that of listing a new information. After that the user has to connect to the BicneT Host to complete updating the information.

This is a list of other E-mail service and Information networks to which BicneT-INFOMAX can be connected for message interchange on a reciprocal basis. In addition to gateways through BicneT. INFOMAX offers you the ability to establish your private gateway to a number of other E-mail services and information networks. To send messages to Users on other networks to which BicneT has a gateway, an account with a BicneT centre is required. The necessary addressing conventions are explained for each of the gateways.
If you wish to establish a gateway directly with another network listed under private gateways, you require to open an account with the desired network and install a INFOMAX message converter for the selected gateway. In this way you can offer the messaging capabilities of INFOMAX to all Users of your private network and also connectivity to the other network, even if that network does not service the location where the user is situated or if all users do not have an individual accounts on the other service. Gateways convert mail from the BicneT-INFOMAX system to required format for further transmission.
There are two types of Gateways available for BicneT-INFOMAX.
Private Gateways can be installed on your system and are accessible to any user on the Local or Wide Area Network of your organisation. Private Gateways to INFOMAX allow users to send Fax or E-mail through a Fax Card installed at a Node or through a mailbox with a Public E-mail Service.
WAN Gateway installation enables users at a location to send and receive Bicmail from users at another location through an INFOMAX HOST/HUB or through a Point to Point connection.
FAX Gateway installation enables privileged users to be able to send and receive fax messages from their node through a common fax que set up at any node where a fax card is installed.
X.400 Gateway installation enables privileged users to be able to send and receive e-mail to X.400 and Internet users from their node.
INFOMAX offers a private gateway capabilities to VSNL's GEMS400 network enabling all users in your organization to send and receive messages from X.400 networks.
X.400 messaging networks are widely supported by most countries and are the official standard for electronic mail services.
Videsh Sanchar Nigam Ltd is a Govt. owned company and offers the GEMS400 service connecting to X.400 networks worldwide. INFOMAX X.400 gateway adds X.400 connectivity to your INFOMAX messaging network. It also makes it possible for users to have X.400 connectivity without having an individual account.
To use the INFOMAX X.400 private Gateway,
1) Your company must have an X.400 account.
2) You require install the X.400 message converter module.
BicneT offers gateway capabilities to X.400 networks enabling BicneT users to send and receive messages from X.400 networks, making it possible for users to have X.400 connectivity without having an individual account. X.400 messaging networks are widely supported by most countries
and are the official standard for electronic mail services.
INTERNET is the network of networks based on the internetworking protocol suite TCP/IP. It has evolved over the last twenty years from the US Defense Advance Research Projects Network, to become today the world's largest network. It was initially funded by US Defense department and other Govt institutions of various countries, but today it has become partly commercial.
It offers connectivity to over 6000 networks of Universities, Research & Development centres and Commercial Business Networks, worldwide offering services such as Remote Login, File Transfers and Electronic Mail.
BicneT offers E-Mail to Fax No. Delivery Gateway bringing together the cost advantage of E-mail and the large installed base of Fax machines. You can use the E-mail to Fax gateway to save upto 75% of the cost of fax communications and still send all your fax messages.
The E-mail will reach the destination city as E-mail and there it destination city will be converted to a fax and will be sent to the specified local fax nos. as a fax.
To do this you need to have an account with a BicneT centre and select the receiver's address as the BicneT Fax Gateway and specify the fax nos. where the message should be delivered as a normal fax.
The fax Gateway can be installed on any node with the following configuration.
1). Change the path to the INFOMAX directory by typing CD \BIC or as applicable. Now copy BICINST.EXE from installation diskette by typing copy A:\BICINST.EXE.
2). Type BICINST at the DOS prompt and press enter key after that select the Fax Gateway from the menu. It will ask you to enter Fax code and Fax path. The fax code is the code which you have created as a user eg.BICMAIL453564000562000000AAGF1 and the Fax path is the path where the Fax files are to be copied for e.g. C:\FAXGW. Once this is done it will ask you to insert the fax floppy. You have to insert appropriate Fax floppy and press enter. Finally it will prompt you saying that Fax gateway successfully installed.
3). One can have maximum of nine fax gateway. If you would like to install more than one Fax gateway then you have to repeated the above process once again. The Fax code is the code which you have created as a user for eg.Bicmail 453564000562000000AAGF2 and the Fax path where the Fax file are to be copied for eg.C:\FAXGW2. Once the Fax is installed a batch file called "FAXGATE1.BAT" file will be created in the INFOMAX directory. Normally the batch file will look like this.
Note: The FAX GATEWAY USER codes can be created from INFOMAX by the INFOMAX manager using the options in services to add users. The Group "G" is reserved as the GATEWAY group and should not be used for normal users. For Fax Gateway, the 28th and 29th characters should always be "GF". The 30th character indicates the Gateway No. and can be any value form 1-9.
4.) Insert the Fax Gateway distribution diskettes as requested for. You will be notified if the installation is successful of otherwise if any files are missing or problems are encountered during installation.

INFOMAX Fax Gateway works through a number of fax applications bundled with Fax/Modem cards like BITFAX, SUPERFAX, QL2FAX etc.
We explain below the setting required for BITFAX, bundled with most Fax/Modem cards.
Change your directory to the appropriate fax path for eg.C:\FAXGW. Now type BITFAX for eg.C:\FAXGW>BITFAX and press [Enter] to invoke the Bitfax menu.

1. Login as INFOMAX Manager and create the Users INTRLINK and INTRDIAL. The LAN and WAN GATEWAY USER codes can be created from INFOMAX by the INFOMAX manager using the options in services to add users. The Group "G" is reserved as the GATEWAY group and should not be used for normal users. For LAN Gateway User INTRLINK, the 28th-30th characters should always be "GL1". For WAN Gateway User INTRDIAL, the 28th-30th characters should always be "GD1".
2. Change the path to the BicneT-INFOMAX directory by typing CD F:BIC or as applicable. Now copy BICINST.EXE from the installation diskette by typing copy A:\BICINST.EXE.
3. Type Bicinst at the DOS prompt & press [Enter]. After that select the WAN gateway from the menu, you will get a pull down menu with 2 options, i.e.
(a) Maintain Connection
(b) Install Lan/Wan gateway
CONFIGURING THE WAN GATEWAY.
The configuration of the WAN Gateway is the most important step. The routing and scheduling of mail is dependent upon this configuration. Hence it should be configured with full understanding and accuracy.
Let us consider that we would like to connect Ahmedabad, Calcutta, Bombay & Delhi. Let Bombay be the Head Office, Calcutta, Ahmedabad we say are Branches. Delhi is a distributors office .
Each of these locations are connect to one or more locations. Each location has a relationship with the other locations to which it is connected. The relationships are defined as below:
RELATIONSHIPS BETWEEN LOCATIONS
HUB(HB): The relationship to any other location is termed as HUB when it accepts mail for other locations to which our location is not connected.
Note: When a relationship is assigned as HUB to any other location, the location which is supposed to do the routing mush have the HOST variable set to yes in the BicneT configuration settings. This can be set by logging in as INFOMAN and using ALT+F and selecting BicneT.
BRANCH:(BR) The relationship to any other location is termed as BRANCH when mail is received from other locations, routed for and delivered to the related location.
POINT TO POINT (PP): The relationship to other location is termed as POINT-TO-POINT when mail is send directly between two location without a HUB.
CONNECTION TYPE
A mail exchange connection can be DIRECT or INDIRECT.
DIRECT connection means that the two locations exchange mail directly.
INDIRECT connection means that the two locations exchange mail via one or more intermediate HUB's.
DIRECT connections:
1. HUB/HOST to BRANCH.
2. Point to Point Connection.
3. BRANCH to HUB mail.
INDIRECT Connections:
1. BRANCH to BRANCH.
Let us make the Bombay system the Host/Hub which will do the routing of mail for other stations. Ahmedabad and Calcutta will be leaf systems. Delhi is connected point to point to Calcutta.
We can configure by using invoking the BICINST.EXE. Select WAN Gateway and then Maintain Connection option. All locations to which mail is to sent/received directly or indirectly should be added by using this option. Add the locations BOMBAY, DELHI, AHMEDABAD and enter the appropriate details. On-line help will; be available at each field with F1 in case you face any difficulty while configuring.

MAINTAINING CONNECTIONS
This utility is used whenever a company wants to dial or schedule a particular location or branch of the company. Every branch of the company is given a unique code. So for every branch necessary details has to entered using this utility.
When you run the utility you will be shown different options such as Add, Modify, Delete, Select, Option, Exit.
ADDING A WAN LOCATION.
The Add option is used whenever any new location detail is to be entered. When you take the highlighted bar on ADD and press enter a message Enter WAN Code will be presented and by default the company code is shown. You have to enter the appropriate WAN Code. If the WAN Code entered is not unique code, it prompt a message "Duplicate Code". If it is a unique code a new screen will be shown, where you have to enter the necessary details.
Name: Identifying name of the Wan Location: eg Landmark, Area, Bldg, etc.
City : The city where this particular WAN location or branch is situated. E.g. If the WAN is located in Bombay write "Bombay".
First Name: Supervisor's first name of this particular WAN location or branch. e.g. the first name is Ajay write "Ajay".
Last Name: Supervisor's last name of this particular WAN location or branch. e.g. the last name is Patil write "Patel".
Country Code: Country code of this particular WAN location or branch. e.g. the Country is India write "91".
Area Code: Area code of this particular WAN location. E.g. If the area is Bombay the code is "22".
Data Phone 1: The WAN location's telephone number is written over here. This is a number which the software will take to dial to transfer the data.
Data Phone 2 : The WAN location's second telephone number, if any is written over
here. If the first number is found engaged it will automatically starts dialing the second number.
Speed : Speed at which the data is to be transferred. If the connection is through a modem, select a speed from 1,200bps to 38,400bps as supported by the line conditions. For intercity generally, 9,600-38,400 is suitable. For intracity, 2400bps-9,600bps is appropriate. For serial links, select 9,600bps, 57,600bps or 1,15,000 as supported by the ports and cabling.
Link Type : Select MODEM if communication is over telephone lines and modems, SERIAL for direct serial connections with or without Line drivers.
COM port : Select a COM port between COM-COM8 as applicable.
Connect Type: Select DIRECT if directly exchanging mail with the location, INDIREC if exchanging through a intermediary HUB.
WAN Type :Indicate the relationship with the location as BR(Branch), HB(Hub) or PP(Point to Point).
Time1..9: The time when the connection has to be made to the WAN location. You may give upto 9 timings for automatically establishing connections.
At times when no outbound connections have been scheduled, the system will automatically go in the host mode to receive incoming calls.
Start Date : The date when it should start dialing the location. If the date specified is "01/01/80" then it will dial daily, otherwise when the specified date has arrived.
Eg.13/03/95 - It will dial only when system date is the specified one.
01/01/80 - Dial every day.
Incr. Time : Specify a value in minutes. The WAN Location will be dialed every specified no. Minutes. Suppose if first time it dialed at 10.00 and Incr.Time was 00.30 minutes. Thus it will dial time at 10.30 then at 11.00 & so on.
WAN Password :
Auto Directory Exchange: If Auto Dialing is set to "Yes" then it will update the address book of WAN location or the branch to be dialed. E.g. Suppose branch "A" dialing branch "B". It will take all the users of branch "A" and update the address book of branch "B".
DirEx. Frequency : Here you have to specify after how many days the address book of he WAN location has to be updated.
Last Dialing : The last date when it updated the address book of the WAN location.
Spl.Script :Name of script/batch file to be executed on establishment of connection as the specified time.

After all locations have been configured, select the INSTALL option. A few more General settings are required as explained below:

OR Data - When data transfer is to be attempted at
regular intervals till successful
2. Failed Attempt : Discard - If unsuccessful attempts is to be ignored.
OR Repeat - If unsuccessful attempts are to be retried.
3. Connection Type : Modem - If Modem should answer incoming calls
defeat for Host Mode OR Serial - If serial port should received incoming mail.
4. Host Communication : Path of the COMMUTIL subdirectory.

7. Wait for Ring (mins) : Time between collection of mail from local users at the Host.
Default collection every 60 mins.
The above settings will be stored in the BICHOST.CFG file in the commutil directory.
Another text file MESGDAY.TXT can be modified to display a message to all calling locations.
After answering these questions, you will be asked to insert the two WAN Gateway diskettes which will be copied into the COMMUTIL directory.
STARTING THE SCHEDULER:
Type "TFRX" to invoke the TFRX.BAT file which will extract messages for other locations, compress them into bundles, and check the schedules times for connecting. If any location is scheduled for dialing, it will invoke the appropriate scripts to dial using the modem and exchange mail automatically with that location.
If no schedule exists or no location is due for dialing, the scripts for HOST mode will be invoked so that incoming call are automatically answered and mail exchanged accordingly.
MODIFIYING SCHEDULE and CONFIGURATION for a Location.
If you want to modify any of the WAN location details. Select MODIFY. It will show all the WAN locations entered. Select the WAN location to be modified by pressing Enter "<-/" It will show all the details which is to be modified, which is same or you did it for ADD option.
REMOVING A WAN Location.
If you want to delete any of the WAN location entered. Select DELETE. It will show all the WAN locations entered by you. Select the WAN location you want to delete and press Enter, it will ask for your confirmation. If you press "Y", it will delete selected the WAN location.
MANUAL SELECTION of WAN location to CONNECT.
If you want to dial a particular branch or location or wants to transfer data. Choose SELECT from the options. It will show all the WAN location details entered by you. Select the WAN location/branch to which you want to dial. It will start dialing.
Note: The WAN Gateways at the HOST and GUEST locations require that Procomm Plus 2.01 for DOS be installed in the Commutil directory. The recommended settings for Procomm Plus are:

1) Batch file not created : Type BicneT at DOS prompt. For e.g. F:\BIC> E [Enter]. Login as the manager press ALT-F. Change the branch code & LAN code. For e.g Delhi Branch code is "D" & LAN code is "A" & save the details. After this select Reindex option from the service menu.

login to BicneT with F2.
2.) User list not found. Press any key to Quit.
The above message will be displayed if the User's Database can not be opened.
3.) Addressed receiver not a user on this LAN. Can't send internally.
The above message will be displayed when wrong addresses are used or the defined BicneT
user to whom the mail is addressed is not the user on the network. The user must see that the
addresses are correctly entered.
4.) Your communications are restricted to this address. Can't send mail.
This message will be displayed if the user has no rights to send a mail to another user.
5.) Specified path does not exist or no files in specified path.
This will be displayed when attachment directory path has no files or wrong path is given.
6.) Internal message counter not initialized.
This message will be displayed when counter for creating mail file cannot be opened.
7.) Mail creation error (file path).
This message will be displayed when the envelope cannot be created.
8.) Duplicate Mail Sr No. (file path).
This message will be displayed when the envelope already exist.
9.) You do not have ___ mail. ___ to be filled as per status.
This message will be displayed when there is no mail for the user.
10.) Attachments missing for this MAIL.
This message will be displayed when some directories are removed accidentally.

The above messages are self explanatory.
12.) Error reading Mail (file path).
The above message will be displayed if a retrieved external file cannot be opened.
13.) Mail (file path) not found.
This message will be displayed if an envelope is selected and if it is not found.
14.) Invalid Directory. Can't EXTRACT mail.
This message will be displayed while extracting envelope if the directory specified is wrong.
15.) User code already exists in Users List. Please use another code.
This message will be displayed while adding a new user, if the user code already exists.
Always use a unique User code
16.) BICMAIL User Code should be exactly 30 characters long. Try again.
This message will be displayed while adding a new user, if the user code is less than 30.
17.) The Network Login name specified does not exist. Please check.
This message will be displayed when the login name given of the user does not exist on
Netware or is subsequently deleted.
18.) No mail for you.
This message will be displayed when there is no mail in the log.
19.) Address book missing.
This will be displayed when the user has not created an address book or deleted it
accidentally.

This message will be displayed when the sent mail log is deleted accidentally.

This message will be displayed when the receive mail log is deleted accidentally.

This message will be displayed when the internal mail log is deleted accidentally.
23.) Archives database missing.
This message will be displayed when the archived database is deleted accidentally.

This message will be displayed when the login database is deleted accidentally.

This message will be displayed when the user communication parameters are missing.

This message will be displayed when the user name or the password is incorrectly entered or
the master database is deleted accidentally.

This message will be displayed when the user has entered the wrong file path or the user
does not have the rights.

This message will be displayed when the user has entered the wrong file path or the user
does not have the rights.
29.) User already logged in.
This message will be displayed if a user is already logged in and the same user tries to login
again at different node on a Local Area Network. If the INFOMAX MANAGER faces this problem he can clear all logins by pressing CTRL-F12.
Note: All users should be requested to logout before CTRL-F12 is used.
30.) Login name incorrect please try again.
This message will be displayed when the user has entered the wrong login name or the
password.
31.) Memory low
This message will be displayed when the memory of the system is low. Remove all the TSR
program from the autoexec.bat. Save the batch file and reboot your system, run BicneT.
32.) DOS Error
In this case there will be a menu on the screen displaying QUIT, RETRY, DEFAULT.
Highlight DEFAULT and [ENTER] AND REINDEX. Please refer DOS reference manual for
an explanation of DOS errors.
33.) CONNECTION not reliable......Quitting
Sometimes due to noise in the telephone lines, you may get this message which indicates
that the messages cannot be sent due to unreliable connection.
34. ) ACKNOWLEDGEMENT not received from HOST .... Quitting
Since modem communications are automated, the Modem at the BicneT Host should be ready to receive the messages to be sent by you. When an acknowledgment is not received in time, the message may be flashed before disconnecting. You may connect again in this case.
